Month-end close checklist for small accounting firms
This is a working checklist for a 3 to 20 person CAS or bookkeeping firm closing monthly SMB clients on QuickBooks Online exports. It follows the order that survives deadline pressure: prepare, review, sign off. Run it top to bottom for one client period at a time.
1.Before the work starts
- Import the client’s trial balance, general ledger and bank statements as files for the period. Keep the files: they are the version every later check points to.
- Confirm the client account map from last period still fits. New accounts arrive quietly and land unmapped.
- Roll forward the period structure and the prior notes. Never roll forward a prior sign-off.
2.Prepare: the balance-sheet checks
- Trial balance balances. If it does not, stop and fix the import before anything else.
- Trial balance ties to the general ledger, account by account. A tie here is what makes every later claim checkable.
- Bank and credit-card accounts reconcile to the statements, to the penny. Note any reconciling item that is really an error in disguise.
- Suspense and uncategorized accounts are cleared or have a written reason. An open suspense account is an open exception.
- Balance-sheet movement against the prior period is explained, line by line, especially accounts that moved without activity.
- Proposed adjusting entries stay proposals until a human approves them. Write why each one exists, next to its source rows.
3.Review: what the reviewer actually checks
- Open one screen that shows what passed, what failed and what is still open, tied to the same data version the preparer used.
- Answer every review note in writing. A note that is answered nowhere is a note that will be asked again next month.
- Check that every exception is either cleared or consciously accepted. Nothing closes itself.
- Confirm no period can show as signed off while an exception is open. If your tools allow that, the sign-off is decoration.
4.Sign off and hand over
- The preparer signs off, then the reviewer signs off, in that order.
- Export the close binder: the data, the checks, the support, the open exceptions and the sign-offs, tied to one data version.
- Send the binder to the client or file it. When a client or a peer reviewer asks later, the binder answers.
